Booking Conditions

We want you to enjoy your holiday. These conditions, along with the information provided on our web site and in the brochure set out our contract with you and contain important terms and conditions. Please read this carefully before you make your reservation. We will send you a copy of the booking conditions with the booking form, once we have confirmed availability of the holiday you have selected.

1 The Contract. The booking form (which must be signed by one person who is accepting the booking conditions on behalf of everyone on the form), any deposits or insurance premiums must be sent to us before we will issue a confirmation of your booking. The contract becomes effective on our written confirmation and is governed in all respects by English law.

2 Payment. The full deposit, of £30 per person for breaks up to 4 nights and £50 for breaks over 4 nights, must be received with the booking form. Payment can be made by cheque, credit card, Eurocheque, International Bankers Order or direct into our bank account. Alternatively for overseas visitors you can pay by cheque in your own currency, however please add £15 to the total holiday cost to help cover our bank charges for currency conversion.

When we confirm your booking we will send an invoice showing the balance of the payment due and date when it must be received by us. Full payment of the balance must be made 6 weeks before the start of your holiday. If you do not make the payment by the due date you will be deemed to have cancelled your holiday and cancellation terms will apply. Where bookings are made less than 6 weeks before the start of your holiday payment must be made in full.

In accordance with EC Directive 90/314/EEC, your deposit and final balance payments are protected in a trust fund until your holiday is completed.

4. Bike Deposit. It is a condition of our insurance that we take a deposit for all bikes hired. The deposit of £40 is required at the start of each holiday and is refundable on the return of the bike in a satisfactory condition.

5 Cancellation. If you have to cancel your holiday you must notify us immediately in writing by recorded delivery. Cancellation rates will be charged as a percentage of the holiday cost on the following scale, from the date we receive your notification. Insurance premiums are not refundable.

More than 28 days before departure - Deposit only
15 - 28 days before departure - 75%
Less than 15 days before departure - 100%

Cancellation may be covered by insurance provided the reasons are valid and fall within the terns of the policy.

6 Changes to Arrangements. If you wish to change your holiday arrangements we will do our best to accommodate you subject to availability, for an administration fee of £15 per booking, providing alterations are notified 28 days before the start of your holiday.

7 Alteration or cancellation by Byways Bike Breaks. The holidays are planned many months in advance. There may be occasions where it is necessary to alter itineraries. The itineraries are statement of intent only, and not representations or undertakings that they will be carried out. Any changes will not constitute material alterations and we will notify you as soon as we can. In the unlikely event that we have to cancel your holiday we will offer you an alternative or a full refund.

8 Insurance. We strongly advise customers to ensure that they have adequate insurance cover in case of cancellation, accident or loss of possessions. We can offer a competitive policy through Bishopgate which gives medical cover up to £1million, personal accident up to £20,000, loss of belongings up to £1,500 and cancellation cover up to £3,000. 9 Customer Care. We will do our utmost to ensure that you have an enjoyable holiday. If you do have any complaint please notify us in writing as soon as possible and in any event within 28 days of your holiday.

10 Your Safety and Responsibilities. We want you to have safe holiday. Any person coming on a cycling holiday must be fit and capable of riding a bike safely. If you have any doubts please consult your doctor. If for any reason, at any time we are not satisfied about your competence we reserve the right to refuse to supply you with a bike or withdraw it from your use. You are responsible for ensuring that your bike is always left securely locked if left unattended. If you bring your own bike please make sure it is in good repair. We cannot be held responsible for any consequential injuries. Should you breakdown we will do all we can to help but we cannot be called out to repair your bike or held responsible.

Cars are parked at your own risk. We can take no responsibility for any loss or damage to your vehicle or its contents.
